RECEPTIONIST/ADMINISTRATIVE ASSISTANT I, Global Education and Career Development, to serve as first point of contact, including responding to telephone, email, and in-person inquires. Will anticipate and initiate actions regarding office operations which require knowledge of the Institute and other departments; assist customers with information about, and referral to, career services programs and services; provide complex and diverse administrative support--under minimal supervision--for a group of individuals handling multiple programs and projects; be responsible for meeting logistics such as audiovisual set up, catering, meeting space, etc.; assist the executive director with calendar management, meeting minutes, and file maintenance; schedule appointments for students, employers, and other institutional administrators; help maintain confidential student records; compose and edit documents; perform basic bookkeeping functions such as posting financial transactions; approve payroll for hourly staff; track vacation time and coordinate parking for exempt staff; order office supplies; coordinate facilities requests; receive and sort office mail; coordinate scheduling of conference rooms and other facilities; hire, supervise, and train front desk student workers and provide back-up administrative support to global education, preprofessional advising, and on-campus interviewing functions; and perform related duties as needed.

REQUIREMENTS: a high school diploma or its equivalent; at least three years of administrative, office, or related experience; proficiency with Microsoft Office; basic knowledge of or willingness to learn database software; attention to detail; ability to work as part of a team; strong organizational and communication skills; efficient telephone skills; and the ability to prioritize and complete tasks in an environment with frequent interruptions.
