Project Specialist

The Project Specialist is responsible for improving the efficiency and effectiveness of the Field Operations organization through individual initiative and applying administrative, communications, and project management skills to address challenges. This position supports the VP, Worldwide Field Operations with executive administrative assistance and will also be responsible for various project management requirements that will improve the operational efficiency and effectiveness through tactical and strategic initiatives.

Responsibilities include:

Office Operations:

  • Schedule and organize ad hoc meetings and agendas for all participants and coordinate all logistical requirements.
  • Update and maintain Calendar, expense reports, make travel arrangements, create org charts and produce reports as required.
  • Manage Global Field Operations Distribution Lists
  • Arrange interviews for new hires to meet with people relevant to their roles. Work with internal and external recruiting organizations on screening candidates to ensure minimum talent requirements are present before formal interviews.
  • Create plans for Field Operations office space requirements. Work proactively with Facilities to meet current and future needs within the context of the Corporate strategy. Execute office moves.
  • Maintain a system to track and deploy all laptops from exiting employees. Retire depreciated laptops and order new ones as needed
  • Enter, process and track purchase requests

Project Coordination:

  • Work proactively and independently on special projects and reporting initiatives in support of organizational objectives
  • Work with supported organizations to develop project plans for special projects, and help manage action items and deliverables schedules
  • Orchestrate the coordination of information between Corporate business groups and Field Operations to ensure alignment.
  • Schedule and organize recurring meetings such as forecast calls and regular management team meetings.
  • Create and communicate meeting agendas, participate in meetings, and capture and track all action items for timely deliverables

QUALIFICATIONS AND EDUCATION:

  • BA required with a major in Business Administration preferred
  • 3-5 years administrative experience for 100 person or larger organizations
  • Experience in supporting a Sales or Operations organization
  • Excellent Excel and PowerPoint skills a must.
  • Proven track record of increasing administrative responsibility
  • Excellent written and verbal communications skills
  • Strong organizational skills
  • Project management skills
  • Ability to effectively multi-task and meet deadlines

Willingness to be flexible as priorities shift
