The Program Coordinator I works in close coordination with the Program Director and Program Officer to provide programmatic administrative support to assigned Pathfinder field offices.
Key Responsibilities
Assist with administrative tasks related to field office closings as guided by Program Management leadership.
Prepare Independent Contract Agreements; collect all pertinent information from contractor (SOW, CV, Bio Data sheet, W9), circulate agreement for approval and send approval notification and documents to ICA and CO, modify agreements, facilitate payment to contractors, and coordinate travel.
Prepare travel assistance for the field including, but not limited to: TAFs, itineraries, TEV assistance, assist with production of VISA related documents, and hotel accommodations.
Prepare country/project specific travel packets for HQ staff traveling within our portfolio.
Prepare and review sub-grantee documents for circulation, review GFRs for completeness and follow up with project staff on missing items.
HQ procurement including, but not limited to, preparing requisitions, purchasing orders, researching for competitive bids, following due diligence procedures, sol source justifications and attending procurement meetings and monitoring the process.
Coordinate HQ visitors from the field and potential employees (meetings, scheduling travel, accommodations, etc.).
Coordinate post allowances for our expats including allowance payments, travel, repatriation, TQSA, and housing leases.
Support the production and coordinator of communication materials for our field offices.
Generate reports and materials for countries from the R-drive and Quickbase when requested. Responsible for maintenance of both.
Act as main driver for Ishare project, including acting as liaison to ISU in relation to this project.
Assist in updating project and country pages and materials.
Facilitate, monitor sub-grants administrative work at HQ
Assist with preparation of presentations and documents
Responsible for communicating kit deadlines and quarterly report reminders.
Organize and, at times, attend department meetings, retreats, and trainings as requested.
Serve on task forces as requested.
Coordinate logistics and participant arrangements for international conferences
Performs other administrative, programmatic duties and special tasks as assigned.
Basic Requirements
Bachelors degree (preferably with an emphasis on international work and/or business administration).
At least 6 months international or public health related work experience
Excellent English written and verbal communication skills.
Excellent interpersonal skills and demonstrated ability to interact professionally with a culturally diverse staff, clients and consultants.
Demonstrated ability to work as an effective team member in a complex and fast paced environment.
Must possess good judgment, flexibility, and patience.
Strong capabilities using Microsoft Office applications including Word, Excel and PowerPoint; experience with databases and Website content maintenance a plus.
Strong organizational skills and attention to detail, with ability to prioritize deadlines and work in fast-moving environments and teams, while maintaining accuracy.

Preferred Qualifications
3+ months working in an office environment
Familiarity with reproductive health, family planning or education desired.
Process improvement experience a plus.
Additional language skills in Spanish, Portuguese, French or Arabic helpful.
